We’re looking for a proactive and organised Student Voice Coordinator to join our Membership Team. In this exciting role, you’ll support student democracy and academic representation, building strong relationships with elected Officers, members, and colleagues to help students make their voices heard.

What’s on offer

  • Salary: ÂŁ28,585 – ÂŁ31,973 per annum, plus excellent benefits
  • Hours: 36.5 per week (Mon–Thurs 8:30–16:30, Fri 8:30–15:30)
    Flexibility required for occasional evenings/weekends
  • Hybrid working: 1 - 2 days a week from home
  • Location: Warwick SU, Coventry (occasional off-site work required)

JOB DESCRIPTION

JOB TITLE: Student Voice Coordinator

RESPONSIBLE TO: Student Voice and Representation Manager

RESPONSIBLE FOR: N/A

WORKS CLOSELY WITH: Membership department, wider SU colleagues, President, Full and Part-Time Officers, Members, and the wider SU colleagues, relevant University colleagues, Faculty, Department and Student Representatives, Academic Convenors, National Union of Students (NUS), other Student Unions and external partners

MAIN PURPOSE: 

  1. Collaborate with elected Officers, student representatives, Members, and colleagues to ensure that student involvement is responsive and relevant through the organisation’s democratic and academic representation structures and project plans.
  2. To support and advise elected Officers and student representatives deliver in their roles by administering their campaigns and manifesto priorities that support the organisation's strategic priorities.
  3. To support the delivery of high-impact student engagement, democratic, and academic representation systems that empower students to shape their experience and create meaningful change.
  4. Nurture and develop relationships and networks with Members, Officers, SU colleagues, the University and other stakeholders to strengthen the resilience and impact of the democracy and academic representation structures within the Students’ Union.

MAIN DUTIES / RESPONSIBILITIES

  1. Provide coordination and administrative support to all areas of the Students’ Union’s democratic and academic representation structures in an inclusive and effective manner.
  2. Provide full administrative support for the delivery of SU Elections, By-Elections, All Student Meetings, All Student Votes Student Council and Forums., ensuring they are accessible, empowering, and impactful in enabling students to drive positive change.
  3. Coordinate, oversee and ensure the room bookings and venue hire for democratic meetings and production of agendas, minutes, action logs and relevant papers for All Student Meetings, Student Council and Forums..
  4. Help the Students’ Union to continuously develop an effective partnership at faculty and department level with students and the university to improve academic representation. Attending faculty meetings to take minutes. Engage with Student Staff Liaison Committee (SSLCs), provide support to course representatives, monitor performance, and track key issues and progress.
  5. Support the collection of an online filing system of (SSLC) minutes and agendas. Ensure elected representatives and Students’ Union and University colleagues are easily able to access SSLC agendas and minutes and are given adequate briefing if required.
  6. Collaborate with the Student Officers and other SU colleagues to write, develop, and deliver the training to Course Representatives and SSLCs and assist in the creation and editing of any promotional materials for the SSLCs.
  7. Ensure sections of the Students’ Union website and other web-based and physical resources dedicated to student voice and democracy are up to date, accurate and relevant to students.
  8. To act as a communication channel between Student Council, as well as Forums and relevant SU colleagues ensuring the flow of information on Representative’s activity. Provide regular progress reports on achievements and identify key issues.
  9. To be responsible for maintaining and updating Student Council, Forum, and Academic Rep contact information.
  10. Liaise with University colleagues to keep an up-to-date list of Academic Convenors, organise Academic Convenor training and create and maintain a working relationship with department administration and Academic Convenors.
  11. To assist in the organisation and delivery the Union Awards.
  12. Develop a comprehensive understanding of the Students’ Union’s governing documents, democratic policies and resolutions, democratic systems and procedures and advise Officers accordingly.
  13. To work with the Student Voice and Representation Manager to ensure projects related to democracy and academic representation are delivered and administer the allocation of relevant grant funding to students via the relevant Forum.
  14. Provide elections advice and guidance on sports clubs and society elections and democracy related advice and support on academic representation matters.
  15. Provide support, encouragement and advice to prospective candidates and seek to encourage greater member involvement in Union democracy, especially from underrepresented groups.
  16. To coordinate and support voice-related projects and campaigns in conjunction with the Student Voice and Representation Manager, elected Officers, relevant students and student groups. Support the development of funding bids and ensure project plans, outputs and budgets are deliverable, and ensure objectives are drawn up and delivered in support of Officer manifestos and the SUs strategic priorities.
  17. Any other duties in line with the job description that may be reasonably be required from time to time.
  18. Ensure that all tasks are carried out in accordance with relevant legislation and guidelines, including charity law, data protection and other relevant regulations.

DESIRABLE SKILLS / KNOWLEDGE / QUALIFICATIONS

  1. Knowledge and understanding of Students’ Union democratic structures, procedures and organisation
  2. Knowledge and experience of working in a charitable organisation
  3. Report writing skills and a knowledge of plain English writing
  4. Experience and knowledge of coordinating training events
  5. Knowledge of and preferably experience of working in Higher Education
